Coaching is a Desired Management Skill

Businessman Winning RaceIt wasn’t that long ago that the word “coach” was associated with just one thing: sports. Today, coaching is a fast-growing field, with coaches helping individuals on leadership, management, communication, life goals, health and wellness, sales…the list goes on. More and more professionals are being asked to coach their work teams, in order to get the most out of their people. Like any relationship, coaching must be built on trust and mutual respect. People you are coaching must trust you to guide them through a strategic thinking process. When information is shared openly, the process will be much more beneficial. As a coach myself, I recognize what skills are needed to be a successful coach. Here is my list:

  1. Focus: The coach remains focused on the coaching client’s goals and in turn keeps the client focused on those goals. Within coaching sessions, the coach focuses on the work to be done in that session and keeps the client on track through a solid process and effective clarifying questions.
  2. Mindfulness/presence: The coach is fully present and eliminates any distractions. For on-site coaching sessions, be sure to find a quiet, private place to meet.
  3. Rapport/trust: As the coaching relationship deepens, so does the level of trust between coach and client. Create a safe environment for the exchange of open dialogue and trust will develop over time.
  4. Confidentiality: The coach clearly states, and upholds, the commitment to retain all conversations and information in confidence.
  5. Active listening: The role of the coach is to talk less and listen more. Let the client do the talking.
  6. Intuition: The compassionate coach uses all senses to assess the client’s mood or the environment. Sometimes the coach must rely on the “gut” feeling of intuition rather than a more logical, rational explanation.
  7. Curiosity: The curious crave a deeper way of knowing and driver a deeper level of inquiry. The result: thorough and sensitive questioning to reveal breakthroughs in thinking or behavior.
  8. Sound judgment but not judging: The coach remains non-judgmental and open-minded and is prepared to use sound judgment when helping clients work through challenges.
  9. Patience: Behavioral change requires patience. Understand that each client works in his/her own time frame. Some clients require greater time to sort out issues and develop solutions and strategies.
  10. Synthesis: After listening to the client, the coach weaves together strands of information, sometimes disparate, and creates a seamless, condensed summary. Some would call it the 30,000 foot perspective. Often the client cannot see what is most obvious. It takes a skilled coach to point it out. When a client says, “I never thought of it this way” or “I can’t believe I never saw that before,” the coach knows the client is viewing things differently and can now take action.

If you are asked to accept greater responsibilities and coach others, know the skills that are required to be an effective coach. These ten tips will keep you focused. Professional organizations, like the International Coach Federation, and others, can also provide you with additional information for the professional coach.

A Handwritten Note? What a Concept!

july-1-2015Celebrate National Handwriting Day – January 23 – by creating several handwritten notes and sending them to people who matter most in your life or who deserve recognition. Sending an email or text doesn’t carry the same power as a handwritten note. When you take the time to express yourself through writing, the recipient appreciates the gesture. Here are some ideas:

Send a letter to your parent(s). I will be sending a short letter to my 95-year-old mother who lives about 70 miles away from me. She enjoys receiving mail, so I like to surprise her occasionally with a handwritten letter. Since she gave me life, she is #1 on my list!

Show appreciation to your main squeeze. My husband, Mark, does so much for me. I will write him a note of thanks and place it on his computer so he finds it in the morning. (I know there is some irony in placing the note on his computer).

Write comments to staff or co-workers. Seeing your handwritten words “Great job” or “I love this idea” on a report or memo, or in a special note or card expressing your thanks means so much to the people who work with you.

Surprise a friend with a card. You may be so caught up in your own life that you may have forgotten the impact that a kind gesture can have on someone else. The sentiment in your card may provide a bright spot in someone else’s otherwise gray day.

Write yourself a note. I’m not talking about a reminder note like “Buy milk”…I’m talking about writing yourself a meaningful note. It can be personal or inspirational. Consider a brief mantra that will keep you focused, like “Share your voice” or “Live joyfully.” Pose a thought-provoking question, like “What positive change are you creating today?” This Japanese proverb sits on my desk:

“One kind word can warm

three winter months.”

 

National Handwriting Day was created in 1977 by the Writing Instrument Manufacturers Association (WIMA), designed to promote the use of writing instruments like pens, pencils and markers. January 23 was selected for National Handwriting Day because it is the birth date of John Hancock, the first signer of the Declaration of Independence. Hancock never could have imagined that reference to his famous signature would be used in everyday conversation when people often say, “Put your John Hancock on this.”

Money Can’t Buy It

washington.eyeOf all the things that bring us the greatest joy in life, none of them are gifts that are purchased. Instead, they are gifts that come from the heart. They can be given or received. They cannot be bought.

Every year, beginning in late November, people begin purchasing items for holiday gift giving. Often within a few days after the presents have been opened, they become one of many material possessions, tucked away on a shelf, in a drawer, in a cupboard or a closet. The gifts that bring the most lasting joy are those that don’t cost a penny.

Consider the gifts that you can give to others every day:

A smile.

A kind word.

A thank you.

A helping hand.

Recognition for a job well done.

A story.

A shared memory.

A laugh.

A loving embrace.

A hug.

A positive attitude.

Not one of these costs a thing yet each delivers endless riches. What could you do to bring more value to conversations, exchanges or chance encounters this holiday season? How can you keep it going into the New Year? Every day?

Don’t just stand there…do something. If you see an older person struggling to open a door, come to the rescue. If someone drops a glove as she walks down the street, take it to her. If you see someone sitting alone at a gathering, go over and introduce yourself. Invest some time in giving to others. You just might make someone else’s day.

What Jon Stewart Teaches Us About Power Positioning

When Jon Stewart left Comedy Central’s The Daily Show with Jon Stewart, people were wondering what he was going to do. The answer is simple: He is doing good. Listen up, professionals, and learn from Stewart, who is using his positioning power to give others a voice.

On the December 7, 2015 Daily Show, host Trevor Noah welcomed back Stewart, who is bravely tackling a serious issue before Congress right now: the fight to continue funding for first responders of the 9/11 tragedy through the James Zadroga Health and Compensation Reauthorization Act. H.R. 1786 “amends the Public Health Service Act to extend the World Trade Center (WTC) Health Program Fund.  Watch the full episode here.

Stewart and a video crew accompanied first responders to Capitol Hill, visiting the offices of senators, most of whom were (conveniently) out, unavailable or in meetings. With every rejection from Senate staff, Stewart pushed on, heading to the next senator’s office, determined to let first responders’ voices be heard. There were no altercations, no harsh words, just a message that needed to be heard. The only leader who took the time to talk with Stewart and first responders was Senator Rob Portman (R-OH), who later signed the act.

For two decades, I have coached professionals on the importance of power positioning. I define power positioning as “The art of putting yourself in a place that you want to be, that maximizes your talents, skills and contacts.” Stewart demonstrated power positioning in action on Capitol Hill. In his Daily Show appearance, he reached millions of loyal Daily Show viewers, encouraging them to contact their senators and Senate Majority Leader Mitch McConnell (R-KY). He asked them to Tweet using #worstresponders. He recognized that he had the clout and power to raise his voice and raise the collective consciousness of Americans. Political leaders across the country can take pointers from Jon Stewart’s integrity and high level of professionalism. It comes at a time when lives have been shattered and communities are still rebuilding from devastation. It’s time to do the right thing.

All too often, you can easily become passive, detached or uninvolved in the issues of your community, your workplace and the world. The next time you rationalize why you shouldn’t get involved, think again. Your voice could make a difference in someone else’s quality of life.

Thank you, Jon Stewart, for elevating our awareness about this important issue. You continue to be a positive role model for other leaders. You inspire and motivate us all to do a better job of putting other people’s needs ahead of our own.

Time Can Be On Your Side

CompassWhen you hear the words spend and invest, you may automatically think of money. What if you applied those words to time? You would look at time in a very different way.

Spend represents depletion, exhaustion, using up something. It can have a negative connotation. “I spent two full days preparing this report.” It’s time that you will never again have. The blessing – and the curse – of time is that those moments never again return.

Invest reflects a forward intention, movement, planning, strategic thinking. “I invested my time in a spiritual retreat over the weekend.” Investing one’s time symbolizes some benefit, a return on that investment in the future.

Do you have a negative relationship with time (dislike)? or Do you have a positive relationship with time (love)? Is time your enemy or your friend?

If you have a dislike relationship with time, most often you feel like you are continually running out of time, trying to do too much with too little time, finding yourself angry at the time gods each night when you go to sleep (if you’re even getting much sleep).

If you have a love affair with time, you most likely feel complete and fulfilled each day rather than depleted. You know how to pace the work you do and balance it with leisure activities that reconnect you with yourself and loved ones.

Reality check: Most people feel like they don’t have enough hours in the day. You are not alone!

What is your attitude towards time? Do you love it or dislike it? Does it work to your advantage or disadvantage?

If time is currently your enemy (you feel like you never have enough time), then how can you shift your thinking and actions so that you feel like you have enough time each day?

Here are a few suggestions:

Ask. If time is your enemy, ask why.

Assess. Take stock of the things you need to get done in a certain period of time. Are there times of the week, month or year when you feel more of a time crunch (like weekly reporting, monthly sales numbers or at annual tax time)? Are there times of the week, month or year when you feel like you have all the time in the world (annual meeting is over, the sales cycle has ended, new hires are all in place)?

Prioritize. Decide – and do – the most important work first. If you have a performance review scheduled with your boss tomorrow and a monthly report due in three days, which do you prepare for first? The boss, of course.

Delegate. Ask (or hire) someone to help you with small or large tasks, short-term or long-term projects. You may have added some personal burdens that people may not know about, like caring for an aging parent. I don’t know what it is about human nature…we are all so afraid to ask for help. Does it come from that little kid inside of us who – at an early age – wanted to demonstrate how grown up we were by announcing, “I can do it myself!” It is a sign of strength, not weakness, when you know your limitations and ask for help.

Chunk it. Large projects and tasks can be overwhelming. Break down any large assignment into smaller pieces. It’s easier to work on a small part of something big rather than to tackle it all at once.

Do it now. By the time you finish thinking about doing something, you could have gotten it done. The minute you hear yourself saying, “I’ll do that tomorrow,” stop, and ask yourself how long it would take to do it today. Chances are, if you do it today, you’ll sleep better.

Enjoy it. Bertrand Russell said it best: “The time you enjoy wasting is not wasted time.” Learn to fill minutes – even hours and days – with time that allows you to enjoy the present moment, whatever it is.

Shifting from disliking time to loving time requires a small investment of your time and attention.

 

LinkedIn Contacts Require a Closer Look

imagesThere I was, minding my own business on LinkedIn last week, and I got distracted by a pop-up window asking me if I wanted to connect with several people who I knew. One of them, a woman I have known for decades yet haven’t seen for years, was included in the list. I thought how nice it would be to reconnect, so I sent the LinkedIn request. She accepted my invitation within a day. What happened next caught me by surprise.

You see, I sent her a follow-up LinkedIn private message, telling her how glad I was that we were reconnected through LinkedIn and how “easy” it would be for us to get together for coffee or lunch. (I remembered that she and I lived on the same side of town.) Now comes the kicker. Her response was simply how she would love to get together but I may have to wait a while…a few years…because she and her husband were living on their sailboat in Belize. Wow.

I learned a very important lesson: Sometimes we may think we know the people in our LinkedIn network and then we discover we don’t know them at all. It got me thinking. How often do you review your LinkedIn network of contacts? I mean really review who is in your network, where they are, what they are doing, their background, their interests?

When I began my career several decades ago, people often measured your level of influence based on the size of your Rolodex*. Power came with volume. The more contacts, the bigger the Rolodex. The bigger the Rolodex, the greater the influence. Today, that level of influence is measured by the number of LinkedIn contacts, Twitter followers or Facebook friends you have. The landscape has changed.

So when I received this message from my colleague in Belize, I smiled and said to myself, “How cool is this? Here I am, sitting in my home office in Ohio and she’s sitting on her boat halfway around the world and we are connecting through technology.” It just goes to show you, you can connect and reconnect with people in your network at any time, anywhere in the world.

How often do you review your LinkedIn network? Who needs to be included? Who can you reconnect with through a simple email, phone call or text? What’s your plan? Your network awaits you.

*Rolodex (definition): For those of you who are too young to remember, the Rolodex system is a unique way of alphabetically “filing” business contact information (name, title, company, etc.) on individual physical cards placed within a metal holder for easy retrieval. Created in 1956, the word Rolodex comes from combining the words “rolling” and “index.” I’m sure you can still find them in some people’s offices today.

Oh, The Places You’ll Go!

In the classic children’s book, Oh, The Places You’ll Go!, author Dr. Seuss (Theodor Seuss Geisel) begins with:

Congratulations!

Today is your day.

You’re off to Great Places!

You’re off and away!

How wonderful that children are given a glimpse of possibility at such a young age. Let me remind you that at any age you can still dream and imagine the possibilities that lie ahead of you in your life.

When I received my Master of Arts degree in Interpersonal Communication in 1997, the commencement speaker used the theme, Oh, The Places You’ll Go! A smart move because most of the graduates in the auditorium that day grew up reading Dr. Seuss books. Many could recite chapter and verse.

You have brains in your head.

You have feet in your shoes.

You can steer yourself

any direction you choose.

As you embark on a new year’s journey, consider the places you want to go that haven’t quite made it to your priority list. They may reside in the recesses of your brain. You may think about doing them more than actually doing them. What would it take for you to focus on what you want in your life? I use a simple A-B-C method, as outlined in my book, Everything I Do Positions Me: The Simple Path to Professional Success. The key word here is simple. Here it is:

A: Where are you currently positioned? (your current status, current behavior)

C: Fast forward to Where do you want to be positioned? What is your ultimate goal? Your desired future?

B: What sandwiches the gap between A (here and now) and C (the future) is B. What action steps will get you to C?

Example:

A: Poor presentation skills. (current)

C: Polished presenter. (future)

B: Action steps:

  1. Attend a presentations workshop.
  2. Join a Toastmasters group.
  3. Ask my boss to give me more presentation assignments.
  4. Practice in front of the mirror two hours weekly.
  5. Submit a proposal to present at a national professional association conference.

You get the picture. You can go anywhere you want in your career and life. Focus on the things you want most. Create the action steps to get you there. Enjoy the results. It’s that simple.

Open an Account at the Knowledge Bank, Part 3

That’s how much time you must invest before you can master a new skill, as some experts claim. To build your Knowledge Bank, you must master the third part of the trilogy, application, which follows discipline and assimilation.

When you apply what you have learned, you practice or “try on” your new knowledge before you master it. How does it fit into your work and your life? For example, if you have learned a new method to better facilitate meetings, then begin using it in your next meeting. Adjust it where needed. As you use this new knowledge, ask questions like, “How else could I use this knowledge?” or “Is there some other way I can apply it?”

Author Napoleon Hill wrote the classic book, Think and Grow Rich in 1937, outlining 13 principles for leading a successful life. The fourth in the list is specialized knowledge. When I first read this book in the 1980s as a young professional, I was impressed with how simple Hill’s writing was. I remember him speaking of the importance of applying what you learn. With application comes knowledge. All these years later, Hill’s advice is still fresh and meaningful to me.

Consider the beauty and tranquility of a Japanese garden. The gardener must learn various techniques for carefully pruning shrubs and trees, meticulously sweeping leaves, and raking gravel to create traditional patterns. It takes months and years of practice to become master gardener of a Japanese garden.

What is different about the Knowledge Bank that I have covered in these past three posts is that it belongs to you, and you can build your bank so that it provides riches to you and to others. When you invest your knowledge in others, it pays dividends in their lives and in yours. You will feel good knowing that you played an important role in helping others learn and grow.

How often have you attended a presentation at a conference or professional association event, taken a mountain of notes, come home and filed them away for “further reading.” And…you guessed it…”further” never happens.

Once you have disciplined yourself to learn (last week’s blog post), you are ready to assimilate, that is, absorb the information. As you absorb it, don’t just read the words; let them seep into your memory so that as you study it, you begin to understand it and how it works. Ultimately, you will be able to easily recall the new information from memory when you pick it apart and add meaning to it. Without meaning, all you have are just words on a page.

How can you assimilate when you are already in “information overload”? Who has the time to assimilate anyway? Here are three tools to help you:

Mind Mapping. One of my favorite tools for capturing information, taking notes and outlining a presentation is mind mapping, created by Tony Buzan. Mind mapping is a colorful way to capture information in a nonlinear, creative way rather than traditional linear note taking. It’s great if you are a visual learner. Even if you are left brained and more analytical, you can still benefit from mind mapping. Engineers in my training programs who claimed they could never use it discovered that they enjoyed it more than they initially thought.

Speed Reading. It took a school teacher, Evelyn Wood, in the late 1950s to discover speed reading. She noticed that by using the sweeping motion of her hand across a page, it acted as a visual guide as she read. She went on to establish the most recognizable speed reading course in the world. To get your eyes ready to speed read, check out this helpful eye exercise for speed reading created by Nevit Dilmen.

Memory Improvement. Mnemonic devices and images are just two examples of tools that help you remember information. As a child, you learned the alphabet using a song. To remember the length of months, it was a poem that anchored that information in my memory bank…

“Thirty days hath September…

April, June and November.

All the rest have thirty-one,

Except in Leap Year, that’s the time,

When February’s days are twenty-nine.”

As you can see, it takes a lot to not only keep up with information that’s coming at you; it requires discipline and assimilation to absorb it and remember it.

What can you do to better assimilate important information that you need to retain?

Open an Account at the Knowledge Bank

2Imagine what life would be like if you had your own private Knowledge Bank. Each time you wanted to fill your head with information, you would go to the Knowledge Bank for a withdrawal. What would happen if one day the bank teller said to you, “I’m sorry. Your Knowledge account is overdrawn. We can’t give you anymore knowledge.” That would be devastating. Fortunately, there are no limits to acquiring knowledge. Discipline, assimilation and application are the keys to making your brain work more efficiently.

Let’s look at Discipline. If you want to learn more, you have to get into the habit of making room in your life to make that learning happen. If you say, “I need to read more industry publications to keep up on what’s happening in my field” and you never read the journals — they just pile up in your office — then it is time to change that message to your brain from intent to action. Instead of saying, “I need to read…” say, “I am reading now…” Make it active in the present tense. You can say “I need to” for years without taking any action.

When you set aside time every day to do the learning, it will happen. Before you know it, it will become a habit that you won’t think about. You will simply do it.

I recently stumbled upon the Good Life Project’s excellent interview with Josh Kaufman, author of The First 20 Hours: How to Learn Anything…FastHis simple five-step process will open up your eyes to how simple it is to adopt discipline into your life to learn anything. It requires focus and practice to get to mastery. His process includes daily practice. That’s right. Daily practice. When you set aside time every day to learn and do the things you really want to, you begin to know and master them in a shorter period of time.
